HSMP: Your First 30 Days
Establishing the systems that allow us to responsibly manage your HubSpot environment.
The first 30 days of the HubSpot Management Program (HSMP) are focused on establishing the governance guardrails that allow our team to monitor and maintain the health of your HubSpot platform.
In most cases, our team has already conducted a HubSpot Environment Assessment or system review, giving us an understanding of your platform’s current structure and operational usage.
The onboarding process focuses less on discovery and more on implementing the monitoring systems that allow us to proactively oversee your HubSpot environment moving forward.
During the first 30 days we will:
• Establish communication and collaboration channels
• Confirm system access and operational alignment
• Implement governance guardrails and monitoring systems
• Configure dashboards that provide visibility into system health
• Begin supporting tactical requests from your team
Week 1
Program Access & Alignment
Client Portal Access
Your team will receive access to the HSMP Client Portal, which serves as the central hub for working with our team.
Through the portal you can:
• Submit task requests
• Request strategy or consultation sessions
• Communicate directly within tasks
• Track the progress of active work
• Review completed task history
You will receive a welcome email allowing you to activate your account and schedule your Onboarding Strategy Call.
Onboarding Strategy Call
The onboarding call helps align our teams and confirm how the HubSpot Management Program will support your organization.
During this session we will:
Introduce your support team
Establish communication expectations and collaboration workflow.
Review your HubSpot environment
Confirm insights gathered during your HubSpot Environment Assessment.
Discuss immediate priorities
Identify any urgent requests your team would like addressed.
Review how the program works
Walk through task submission, prioritization, and delivery.
Confirm system access
Ensure our team has the appropriate permissions required to manage and monitor your HubSpot environment.
Week 2
Governance Guardrail Implementation
During the second week of the program, our team focuses on implementing the monitoring systems that allow us to maintain visibility into the health of your HubSpot environment.
These guardrails help us detect anomalies, configuration changes, automation conflicts, and data issues as early as possible.
The purpose of these guardrails is to reduce operational risk and identify issues early, not to guarantee that issues will never occur.
Automation Governance
We review and organize automation assets to ensure they remain manageable and understandable as the system evolves.
This includes reviewing:
• Workflow naming conventions
• Workflow descriptions and documentation
• Unused workflows
• Workflows with configuration issues
• Areas where workflows may be overlapping
Automation overlap can occur when multiple workflows update the same records or properties. This can lead to conflicting automation behavior or unintended outcomes.
Our governance reviews help minimize this risk.
Data Health Monitoring
A Data Hygiene Dashboard will be configured within the client portal to monitor common CRM data issues that HubSpot does not easily surface.
This dashboard monitors indicators such as:
• Contacts missing first or last names
• Companies missing company names
• Companies missing domains
• Records missing key operational fields
• Data formatting inconsistencies across properties
• Enrichment gaps where important contact or company data is missing
These indicators help us maintain reliable CRM data that supports automation, segmentation, and reporting.
CRM Configuration Monitoring
We establish visibility into key CRM components that influence how your HubSpot platform operates.
This includes monitoring:
• CRM properties and property structure
• Sales pipelines
• Custom objects
• Segments and lists used in automation or reporting
These checks help ensure structural changes do not unintentionally disrupt automation or reporting.
User & Security Governance
Proper user configuration helps maintain system security and operational consistency.
We review:
• HubSpot users currently active
• Newly added users
• Inactive users
• Two-factor authentication status
If configuration issues are identified, we will recommend corrective actions.
Integration Monitoring
External integrations can significantly impact how data flows into and out of HubSpot.
During onboarding we review:
• Integrations connected to HubSpot
• Integration behavior and activity
• Potential data flow risks between systems
This allows us to monitor integration health moving forward.
Weeks 3–4
Monitoring Activation & Support
Once guardrails are established, the system transitions into active monitoring and operational support.
Our team begins performing regular bi-weekly system health reviews to monitor the operational health of your HubSpot environment.
These reviews help identify:
• workflow anomalies
• automation conflicts
• data quality issues
• configuration changes
• integration risks
When issues or improvement opportunities are identified, we document recommendations and propose tasks that can be prioritized alongside your team’s requests.
Ongoing Tactical Support
While governance guardrails are being implemented, your team can begin submitting requests through the client portal.
Common requests include:
• workflow updates
• automation adjustments
• reporting improvements
• property updates
• user configuration
• troubleshooting issues
These requests are completed based on your plan’s available task capacity.
What Success Looks Like After 30 Days
By the end of the first month, you can expect:
• Governance guardrails monitoring your HubSpot environment
• Data hygiene dashboards providing visibility into CRM health
• Bi-weekly system health reviews underway
• Active collaboration with your HubSpot support team
• Completed task requests improving your environment
Most importantly, your organization will have a dedicated team actively monitoring the operational health of your HubSpot platform.
While not every issue can be predicted in advance, these governance systems allow us to identify risks earlier, respond faster, and continuously improve the reliability of your HubSpot environment.
